Close Out Recipient Data Separately from the Gift Artwork Archive

Review gift recipient-data copies by purpose, custodian and authorised decision, keeping reusable artwork and unresolved delivery records distinct.

Plain kraft and green folders lie beside a small cream spiral notebook and a blank sheet on a cream tabletop.

Close out a gift campaign’s recipient data by reviewing why each remaining copy is still needed and who can decide what happens to it. Reusable blank artwork, a personalised production list and an unresolved delivery record serve different purposes. One instruction to keep the campaign folder, or to delete everything, can hide those differences.

Start from the approved fulfilment scope and the actual exception position. Confirm which tasks have ended and which still need a recipient-related record. A dispatch confirmation or venue delivery does not establish that every intended recipient received their gift. The data review should use the campaign owner’s supported status without reopening the gift design or inventing a delivery outcome.

Inventory copies without collecting their contents again

Ask each known authorised holder to identify the record categories and copies within its responsibility. Depending on the actual work, relevant holdings may include the controlled production list, a separately sent working copy, personalised artwork, a delivery exception record or a printed dispatch list. These are possible locations to ask about, not evidence that any particular supplier keeps them.

Record the custodian, copy reference, current task and the person who can review its continuing purpose. Prefer an existing authorised reference over attaching the underlying list to the closeout worksheet. The worksheet itself should not become a new consolidated address book.

Scope each custodian’s answer. Confirmation about a shared folder does not necessarily cover a separately distributed attachment or printed copy. Ask the holder what its response includes and what remains outside its knowledge. Unknown copies are an unresolved scope question; do not treat a partial inventory as proof that every copy has been found.

Review recipient information separately from reusable design

Identify the approved blank design that the organisation may need for its permitted future work. Check whether the proposed reusable package actually contains personalisation or links to recipient records. A folder labelled artwork may also contain a name list or production proof showing an individual’s message.

The authorised design and records owners should decide what belongs in the reusable package and what needs its own recipient-data review. A blank template’s continuing usefulness does not by itself justify keeping the completed recipient list alongside it. Conversely, a decision about the list does not settle the retention of the approved design, its version history or other authoritative records.

Use record references to preserve necessary relationships without duplicating the underlying personal details. A recipient code may remain connected to a person through another record; replacing a name with a code is not evidence that the information has become anonymous. Any decision relying on anonymisation needs the responsible privacy owner’s assessment.

Assign the purpose decision to someone with authority

The copy custodian can describe what it holds and report an action within its role. The review owner decides the authorised handling under the applicable records policy, agreement and obligations. A coordinator collecting replies should not infer permission to erase a record because a supplier says production is finished.

For a continuing purpose, describe the specific task or obligation, the relevant record scope and the existing review trigger. An unresolved delivery question may need a limited record while the broader production list requires a different decision. Avoid treating one open case as an automatic reason to keep every recipient’s details.

The ICO’s UK storage-limitation guidance ties retention to purpose rather than a universal duration for record types. Its data-minimisation guidance also relates the information held to that purpose. Both pages flag their guidance as under review. They are bounded UK background, not a retention schedule or compliance decision for this campaign.

Where a record obligation or hold is uncertain, ask the responsible privacy or records owner to resolve it. Record that owner’s interim instruction, its scope and the next review trigger rather than inventing a duration. An unassigned keep-for-now note leaves the decision unfinished.

Use a campaign data-closeout responsibility ledger

This original worksheet records decisions and the evidence needed to follow them. All rows below form one hypothetical campaign; the references, roles and proposed outcomes are invented. None instructs a real custodian to delete or retain records.

Record categoryCurrent purposeCopy custodianReview decision ownerAuthorized actionEvidence or unresolved hold
Hypothetical blank artwork A4Reusable approved layout, subject to existing permissionsDesign custodianDesign owner and relevant records ownerProposed separate archive after checking for recipient contentConfirm exact archive version and scope; future-use permission is not created here
Hypothetical personalised production list P3Production task reported finished; continuing purpose under reviewSupplier’s identified list custodianCampaign records owner under actual arrangementsNo action assumed; request a scoped decision on this working copyRecord obligations and any other copies remain to be confirmed
Hypothetical delivery exception record E7Named unresolved delivery questionAuthorised exception ownerResponsible privacy or records owner with campaign inputLimited retention only if directed for the identified purposePreserve the actual review trigger; resolution has not been established

Add the decision source and action acknowledgement to each completed entry. If more than one custodian holds P3, give each copy its own line or subrecord. One supplier reply cannot close a copy held by another organisation.

Follow three different outcomes through the fictional campaign

Suppose the hypothetical design owner confirms that A4 is the appropriate blank layout, with no recipient information identified within the reviewed scope. The organisation can record its authorised archive decision for A4 without using that decision to keep P3. This finding covers the reviewed artifact, not every file ever associated with the design.

Suppose the records owner then establishes that the identified working copy P3 has no continuing purpose or applicable hold and authorises its removal through the custodian’s agreed process. Keep the authorisation separate from the later report of action. The date of the request cannot stand in for evidence that it was carried out.

E7 remains open in this hypothetical example. Its owner must retain the decision about the necessary record and the next review trigger under the actual instruction. Resolving E7 later should prompt the agreed review of that copy; it does not automatically activate a deletion rule across unrelated records.

These outcomes account for three record categories without choosing a universal keep-or-delete answer. They also expose who must act next when a reply is missing. Do not use the hypothetical decisions as a substitute for the campaign’s own policy or authority.

Close only the scope supported by the replies

Ask action reports to identify the copy, action, responsible party and any limitation. A reply that says done may need clarification if the request covered several records. A removed working copy does not establish what happened to other attachments, printed copies or system-managed records outside that custodian’s stated scope.

Refer unresolved technical handling or record obligations to the appropriate owner. This worksheet supplies no deletion code, automatic erasure service or guarantee that all traces disappeared. Preserve enough evidence of the authorised decision and reported action under the organisation’s policy, while avoiding a fresh copy of the personal list inside that evidence.

The custom promotional gifts guide provides the broader evidence-and-responsibility context. Use a gift quote enquiry to discuss requested coordination scope in general terms, without sending recipient spreadsheets or sensitive records. Separately arrange any necessary authorised transfer with the responsible contact. A useful closeout tells the next owner exactly which copies were reviewed, which actions were reported and which purpose decisions remain open.

Frequently asked questions

How long should recipient lists be kept after a gift campaign?

This article provides no fixed period. Ask the responsible privacy or records owner to apply the actual purposes, policy, agreements and obligations to each record category. Preserve the authorised decision and review trigger, including the reason for any unresolved exception. A campaign end date alone does not settle every record.

What if the archive contains personalised files instead of the approved blank artwork?

Keep that discrepancy visible. Ask the authorised design and records owners to identify the intended reusable version and review the recipient-containing copies separately. Do not treat the folder name as evidence that the contents are suitable for reuse or that the personal information should be retained with them.

Does a supplier’s acknowledgement prove every recipient-data copy was deleted?

No. Establish whether it acknowledges the request or reports an action, and which copies and locations it covers. Keep limitations and unanswered custodian requests open. The worksheet can document scoped evidence but cannot guarantee erasure across other holders or records outside the report.

Can the review finish while one delivery exception remains open?

Some copy-specific decisions can be recorded while the exception remains assigned. Its authorised owner should identify the necessary record, continuing purpose and next review trigger under the applicable arrangements. Do not mark the whole campaign erased or keep unrelated recipient lists merely because one question is unresolved.
