Price an Unpersonalised Event Reserve Separately from Confirmed Gifts

Keep optional unpersonalised reserves separate from confirmed attendee gifts, and approve their acquisition, incremental carriage and unused-stock plan.

Approve optional event reserve gifts as a separate spending decision. First protect the allocation promised to confirmed attendees. Then decide whether an explicitly defined group of unpersonalised reserves is worth purchasing and including in the main dispatch, with its own purpose, transport cost and unused-stock owner.

This guide covers ordinary, battery-free event gifts whose main configuration is already approved. It does not set a universal spare percentage, forecast attendance or justify buying extra units to satisfy a pack multiple. The reserve is optional stock outside the confirmed attendee commitment.

Give the reserve a purpose that can be approved

Write who may receive a reserve and who can release one. A campaign might consider unpersonalised notebooks for an approved late guest group, but that is a proposed use requiring the organiser’s decision. “Just in case” leaves too much uncertainty about eligibility and control.

Check that the reserve configuration is genuinely suitable for its intended purpose. An unpersonalised notebook may have different presentation wording from the main gift. Record the approved reference and any necessary restrictions instead of assuming that removing a name makes every variant interchangeable.

Keep reserve quantity outside the confirmed-attendee count. If the main campaign includes named gifts, the reserve cannot silently fill a named assignment or replace missing personalisation. Any permitted substitution needs a separate explicit approval and a clear recipient-facing plan.

Also choose an unused-stock owner before dispatch. Ask who can retain the reserve after the event, where it may go and what permissions or additional charges need confirmation. Do not count possible future distribution or resale as a guaranteed recovery in the present decision.

Compare the main shipment with and without the reserve

Ask for scope-equivalent responses for the approved main gifts alone and for the same main gifts plus the proposed reserve. Preserve the same service, endpoint, receiving arrangement and applicable quote conditions. Otherwise the difference between the offers may include more than reserve carriage.

The DHL Express UK measuring guidance, checked on 13 October 2026, considers both actual and dimensional weight in its stated parcel-billing context. That limited example supports requesting the actual packed configuration. Its formula or rounding should not be assumed to govern a different quote.

For this decision, request measured packed details and the actual incremental offer rather than estimating transport from the reserve’s loose product weight. Do not remove protection or required information to fit reserves into an unchanged carton plan. If the proposed addition changes the packing arrangement, obtain the appropriate approval and revised cost response.

Identify whether the provider has priced an addition to the main dispatch or a separate shipment. A separate-shipment alternative can be considered only as its own scope. Neither arrangement establishes a guaranteed event arrival, and an unpriced hypothetical emergency shipment cannot be credited as a saving.

Build the event reserve authorisation sheet

The worksheet below describes a wholly fictional campaign. CU means fictional currency units. Quantities and prices are invented for arithmetic and do not represent a real event, supplier quote or recommended buffer.

Confirmed attendeesReserve purposeUnpersonalised reserve unitsAcquisition provisionIncremental carriageUnused-stock owner
100, with their main allocation unchangedSeparately approved contingency distribution88 × 9 CU = 72 CU24 CU assumed addition to main dispatchOrganiser to name before release

The 9 CU assumption buys each reserve gift in its stated supplied configuration. The 24 CU assumption covers only the example’s incremental main-shipment carriage. Both must be replaced by actual scoped offers for a real approval. The worksheet does not claim that packing work, storage or event distribution is available.

Reserve spending subtotal = 72 CU + 24 CU = 96 CU.

Reserve-to-confirmed-attendee ratio = 8 ÷ 100 = 8%.

The 8% figure merely describes these chosen inputs. It is not a recommended spare percentage, predicted demand or expected failure rate. The example establishes neither an emergency shipment avoided nor authority to substitute an unpersonalised reserve for a named gift.

The 96 CU subtotal excludes the main gifts and their ordinary transport. Any additional reserve packing, handling, applicable duty or tax, storage, onward delivery and post-event disposition remain excluded or unresolved unless separately confirmed. Do not present the subtotal as complete landed cost.

Choose based on purpose and evidence

OptionWhat it preservesWhat the buyer must decide
Main allocation onlyConfirmed-attendee commitment without optional reserve spendWhether the absence of this reserve is acceptable
Add the defined unpersonalised reserveMain allocation plus a separately controlled contingencyWhether its purpose justifies the scoped incremental cost
Hold reserve approvalTime to resolve price, receiving or ownership questionsWhether the main dispatch can proceed independently under its actual arrangement

In the example, the choice is whether the defined reserve purpose merits a 96 CU partial spending provision, subject to the unresolved costs. It is not whether the campaign can describe the main gifts as cheaper by dividing their cost across more objects.

Do not assign a monetary benefit to “peace of mind” and use it to manufacture a precise saving. Record the concrete consequence the organiser is trying to address and the evidence supporting that concern. The decision can still be reasonable without pretending there is a measured probability or guaranteed financial return.

If attendee demand changes, revisit the main allocation first. Any new confirmed commitment should be visible as such. Reserve units are not a hidden source that can be consumed while the worksheet still reports the original optional balance.

Separate packing release from event release

Before including reserves in dispatch, identify their quantity and approved variant in the packing record, while preserving the main allocation. Agree how the receiving team will distinguish the reserve group without adding unapproved presentation labels or changing the gift itself.

Confirm the venue or receiving party’s actual willingness and arrangements to receive, hold and release the reserve. Name the person who can authorise distribution. A carton count or dispatch reference cannot prove that the stock is accessible when the event team needs it.

After the event, record reserves issued, remaining stock and the authorised next decision. The unused-stock owner should confirm any storage or movement before new cost is incurred. Unused units are a visible outcome of the contingency decision, not evidence that the original spending was automatically wrong or that future value is assured.

Use the party and event supply guide (English) for broader event planning, the fixed-budget event gift guide (English) for the campaign budget and the gift shipping cost guide (English) for delivery foundations. A gift quote enquiry (English) can request the defined with-reserve and without-reserve scopes. Agree milestone evidence, owner, exception and next decision, with reporting frequency confirmed for the actual engagement.

Frequently asked questions

Is eight percent a sensible standard reserve for event gifts?

This article makes no standard-percentage recommendation. Eight reserve units divided by 100 confirmed attendees equals 8% in the fictional example only. Choose any actual reserve through an approved purpose, suitable configuration, scoped cost and unused-stock plan.

What does the fictional 96 CU reserve subtotal cover?

It combines eight gifts at an assumed 9 CU each with 24 CU incremental main-shipment carriage. Main gifts, ordinary main transport and other unconfirmed charges are outside it. It is neither a market price nor a complete landed-cost estimate.

Can spare unpersonalised gifts replace missing named gifts?

Only a separately authorised change can permit that use. Keep the main attendee allocation and named commitments visible. The reserve decision by itself gives no permission to substitute, change a recipient assignment or treat spare stock as already fulfilling a promise.

What should be confirmed before reserves join the main dispatch?

Confirm the approved reserve variant and quantity, its purpose, packed scope, actual incremental quote, receiving arrangement and unused-stock owner. Recheck changes to attendee demand or shipment scope. Dispatch evidence does not establish event availability, recipient acceptance or emergency cost savings.
